Refunds and cancellations
Refund and cancellation policy for Mindfabric Base review engagements, deposits, rescheduling, and work already started.
This policy applies to paid review engagements with Mindfabric Base (project reviews and retainers). It does not cover goods, physical delivery, or software subscriptions — we do not sell those.
Eligibility
Refunds are considered for cancelled engagements according to the stages below. Fee guidance on the website is not itself a charge; this policy applies once an engagement letter and invoice or deposit request have been issued.
Timeframes
- Before intake is complete and before review work begins: full refund of any deposit paid, less any non-refundable third-party research costs disclosed in writing (usually none at this stage).
- After intake is complete but before the draft memo is issued: 50% of the project fee (or deposit, if higher than 50% already paid) may be retained for scheduling and preparation; the remainder is refunded.
- After a draft memo or briefing pack has been delivered: the engagement is non-refundable, except where we cancel or materially fail to deliver the agreed scope.
Retainers
Quarterly Positioning Review retainers invoiced in advance may be cancelled with 30 days’ written notice before the next quarter. Unused future quarters are refunded on a pro-rata basis. The current quarter is non-refundable once review work for that cycle has started.
Non-refundable items
- Rush premiums once a compressed window has been reserved and work has started.
- Travel booked at your request for an optional Bristol session, once tickets or venues are purchased with your approval.
- Third-party data licences purchased specifically for your engagement and disclosed in advance.
Rescheduling and no-shows
You may reschedule a briefing call once without charge with at least 48 hours’ notice. Later changes or no-shows may forfeit that session; a replacement call can be booked at our then-current hourly follow-up rate if capacity allows.
Work already started
If you pause an engagement after work has begun, we invoice for time spent at the rates implied by the engagement letter, capped at the project fee. Any unused deposit balance is returned.
Process and timing
Email refund or cancellation requests to contact@mindfabricbase.digital with your engagement reference. We confirm within five business days and process approved refunds within 14 business days to the original payment method.
